This policy explains what personal data Katharina Damm Coaching collects through this website and in coaching work, why, and what your rights are.

1. WHO IS RESPONSIBLE FOR YOUR DATA

2. WHAT DATA WE COLLECT AND WHY We only collect the data needed to answer your request and to deliver coaching. When you send the contact form: first name, last name, email address, subject and message. We use this to read and reply to your request and arrange a first conversation. When you become a coaching client: contact details, session notes and invoicing details. We use this to plan and deliver sessions, keep track of your progress and issue invoices. When you visit the website: technical data such as IP address, browser type, pages visited, date and time. We use this to display the site securely and understand how it is used (see section 7). When you subscribe to updates (if offered): email address and name. We use this to send you news and offers about coaching, only with your consent. Session notes may include personal or sensitive information you choose to share. They are kept confidential and used only for your coaching.

3. LEGAL BASIS We process your data under the EU General Data Protection Regulation (GDPR) on these grounds: - Answering your contact request: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR). - Delivering coaching and invoicing: performance of our contract with you (Art. 6(1)(b)) and legal bookkeeping duties (Art. 6(1)(c)). - Running the website securely and measuring its use: our legitimate interest in a working, safe website (Art. 6(1)(f)), or your consent for non-essential cookies (Art. 6(1)(a)). - Newsletter or marketing emails: your consent (Art. 6(1)(a)), which you can withdraw at any time. - Sensitive information shared in sessions (for example about health or personal life): your explicit consent (Art. 9(2)(a)), which you can withdraw at any time.

4. HOW LONG WE KEEP YOUR DATA Contact form requests that do not lead to coaching: up to 6 months after our last exchange, then deleted. Client contact details and session notes: for the duration of the coaching and up to [2] years after the last session, unless you ask for earlier deletion. Invoices and payment records: as long as tax and accounting law requires (typically 6 to 10 years depending on the country).

Newsletter subscription: until you unsubscribe. Website log data: up to [30] days. 5. WHO WE SHARE YOUR DATA WITH We do not sell your data.

We share it only with providers who help us run the website and the business, and only as far as needed: - Website hosting and contact form: [Squarespace Ireland Ltd.], which stores form submissions on our behalf. - Video calls for online sessions: [Zoom / Google Meet / Microsoft Teams]. - Invoicing and accounting: coaching@katdamm.com - Newsletter: [Mailchimp]. YOUR RIGHTS Under the GDPR you can at any time: - Access the personal data we hold about you and receive a copy. - Correct data that is inaccurate or incomplete. - Delete your data, where we have no legal duty to keep it. - Restrict or object to how we process it. - Receive your data in a portable format and have it passed to another provider. - Withdraw consent you have given, with effect for the future.
